Job Description Front Desk Officer
- Greet people entering the building, answer any questions, provide directions, and alert staff when someone is there to meet or visit them
- Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them.
- Accept deliveries and mail, organize them to be distributed to the correct recipients using the office mailing system and ensure they get to the recipient in a timely manner while also managing outgoing mail and packages for pickup
- Handle filing and data entry as requested
- Provide support from time to time as required.
- Greet walk-in clients and make sure they are comfortable while they wait for their scheduled appointment and direct them to the appropriate person and office
- Answer phone calls and emails from clients
- File important documents and keep them well organized.
- Perform any other clerical duties necessary to keep the office running
- Provide basic and accurate information in-person and via phone/email
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms etc.)
